What’s new with invoice reviews

The invoice review screen has an updated layout, providing an easy to use workspace. It keeps the invoice image, matching, coding, and activity in one place so you can review details without switching between screens.

Quick links at the top
Search, navigate, return to All bills, and copy the refCode.

Adjust the layout
Review the invoice image next to coding and adjust the viewer.

Pin the bill summary
Keep key details visible while you scroll.

Split and manage bill lines
Break a bill into lines and turn lines on or off.

Dedicated section for approvers

Quick links at the top

Use the header to search, move through bills, return to All bills, and copy the refCode.

The header has links to navigate between bills and back to All bills
  • Bill search: Bill number, reference code, PO number, or payee
  • Navigation: Move between the next and previous bill within your list
  • All bills: Returns you to the bills list
  • Copy refCode: Copy in one click

Adjust the layout

Review the invoice image next to the coding area and adjust the viewer without leaving the page.

Tipalti AI pre-populates coding field suggestions based on historical patterns from previous bills for the same supplier. These suggestions appear during the review stage, helping reduce manual coding decisions.

Invoice image area
  • Resize the viewer (your preference is remembered)
  • Rotate for easier reading (current session)
  • Open in a new tab for larger viewing
  • Replace or add an image if you have Process bills permission and the bill is in Pending review or Pending AP action
  • Open or close preview using the double arrow

Pin the bill summary

You can pin the bill summary to keep it visible while you scroll, or unpin it to free up space. This makes for easier reviews to confirm the invoice details that apply to the full bill.

Bill summary

  • Payee
  • Payer entity (for multi-entity customers)
  • Invoice totals (net, tax, total) and currency

When bill lines are used, totals are calculated from the lines.

Review and update invoice number, dates, description, AP account, and header-level custom fields.

  • Blocks invalid characters
  • Flags duplicate invoice numbers for the same payee
  • Highlights date issues and mismatched amounts from the invoice scan
  • Prompts for required fields

Split and manage bill lines

Bill lines let you break a bill into multiple coded lines—for example, different departments, cost centers, or tax treatments.

You can merge, duplicate, and delete multiple bill lines at once.

When Capture bill lines is turned on, it'll typically show:

  • Line description
  • Expense account
  • Quantity and unit price
  • Net amount
  • Tax code and tax amount (if enabled)
  • Line total
  • Line-level custom fields

Tipalti applies basic rules (for example, quantity can’t be negative and total equals net plus tax) and calculates totals when needed.

Rounding supports accounting needs (amounts are typically rounded to two decimal places, while some quantity and unit price fields may use more precision).

Quick-click coding

You can right-click a field entry to apply it to all lines.

Turn bill lines on or off

  • Lines off: Key coding fields are moved to the header, so you can code the bill as a single line.
  • Turn off after coding: Shared values copy up to the header when possible.
  • Turn on after header coding: Header values copy down to all lines.

Dedicated section for approvers

Approvers display in a dedicated section under the bill header and bill lines. You can manage the approvers section based on your organization’s approval rules.

  • Shows who's assigned to approve the bill
  • If your setup allows edits, add approvers using + Add approver
  • If you’re using bill approval rules, you can ensure they're applied correctly by clicking Load approvers after you complete coding. You can also edit the coding if necessary.

Choose more actions

Use More actions to take the next step, depending on status and permissions.

Ensures you only submit when ready

When you click Submit, Tipalti runs verification checks and only submits if all the required fields are completed.

If changes are needed, Tipalti highlights them one by one, helping you resolve errors methodically.

Do a final check

If all correct, a summary pop-up displays with the bill details for you to confirm are correct.
If you don't want the pop-up to display again, just select Don’t show again and it won't show in the future.

To view the confirmation window again, clear your browser’s local storage for Tipalti.

Check activity on the right

Open the right Activity tab to collaborate and review the audit trail.

  • Comments and files: Message others and view attached files
  • Audit: Track progress and see who did what and when
  • Download an activity audit from the panel
