Review transactions
To review the details of a transaction:
- Click the row of the transaction that you want to review to open its details in the right pane.
- On the Transaction details pane, review the coding information and edit, if necessary.
- Click Mark as complete to sync the transaction to your ERP.
Update transactions
You can use any Tipalti-issued card to pay bills, set unmatched Bills Card transactions as Expenses Card transactions, and vice versa. This helps finance teams correct exceptions more easily, e.g., if a card was used for the wrong purpose or a one-off expense.
To update the transaction type:
- Click the row of the transaction that you want to review to open its details in the right panel.
- On the Transaction details panel, click on the three dots menu.
- Click Set as an Expenses card transaction.
Once done, you'll see a confirmation, and the transaction type will be updated as an expense and will go through the regular expenses workflow. To update an Expense transaction, follow the same steps as above, but select Set as a Bills card transaction.
- Transaction types can only be updated before the transaction is connected or matched to a Bill or marked as completed.
- The payee and entity must be the same on a bill and card transaction to match them.
- If you have changed a card type (e.g., from Bills Card to Expenses Card), you'll be able to update only new transactions for that card. For more info on updating card types, go to Manage cards.
Edit the tax amount
For UK entities, the Tax amount field in the transaction details pane is editable. After you select a tax code, Tipalti calculates a tax amount automatically — but you can override it if the calculated value doesn't match your requirements. When you enter a value manually, Manual override appears below the field, and your value syncs to your ERP when you mark the transaction as complete.
To edit the tax amount:
- Click the row of the transaction you want to edit to open its details in the right pane.
- Under Accounting details, select a tax code from the Tax code field.
- In the Tax amount field, enter the correct amount.
- Click Mark as completed.
Required user role Process Transactions
You can modify the payee associated with a specific transaction. This is useful when you set up a card and designate a specific payee for transactions with certain merchants, while using a general payee for its other transactions.
To assign a payee per transaction:
- Click the row of the transaction that you want to edit to open its details in the right pane.
- Click Update payee.
- Select the payee from your list.
- Once updated, the payee will be synced to the transaction in your ERP.
Required user role Process Transactions
You can split transaction amounts among multiple line items. This allows for more accurate allocation of various amounts to different accounts, such as expense accounts, descriptions, departments, locations, or custom fields.
To split a transaction:
- Click the row of the transaction that you want to edit to open its details in the right pane.
- Click the menu next to Accounting details and select Split amount.
- Allocate the amount between different lines as required.
You can attach receipts to any card transaction, even when not required by your company policy. Receipts can be added through the Tipalti Hub on the transaction details side panel or you can send the corresponding receipts to receipts@tipalti.com.
The attachments are collected and scanned through AI Smart Scan and then matched against outstanding transactions automatically. If the receipt could not be matched, a notification is sent informing you to manually link it to the relevant card transaction before being reviewed by your Finance team.
If needed, you can opt to attach receipts manually in the Tipalti Hub or choose to skip receipt collection for transactions submitted without receipts.
To add a receipt manually:
- Filter the transaction by Pending employee.
- On the right pane, do one of the following:
- Click Upload file to add an attachment.
- Click Continue without receipt and add a reason for not including a receipt.
