How are bills processed?
Bills move through the bill cycle before entering the payment cycle for payee remittance. Tipalti offers three types of bill flows, each affecting how bills move through the bill cycle (the bill flow may require bill approval prior to payment). Paying bills moves the bill into the payment cycle for final processing.
How do I use the Bills module most effectively?
It is recommended that you review bills daily to ensure payments are paid in a timely manner. The Bills module consists of a number of screens to help you process bills. Your user role and the configured bill flow type determine which screens display and which actions you can perform. Click here for details on how to use each screen.
What is AI Smart Scan?
AI Smart Scan is an image processing technology algorithm that converts an invoice image into a digital bill. Therefore, you do not have to spend time completing all the bill fields in Tipalti. Tipalti's AI Smart Scan also supports multiple languages. Click here for a list of languages.
What is the required image quality to get the best AI Smart Scan results?
Image quality needs to be a minimum of 300 dpi with a minimum height of 1100 pixels.
How are invoices added to the Tipalti Hub for processing?
It depends on which bill flow type you are using. Click here for complete details.
How does Tipalti identify the payee for an invoice?
Tipalti matches details from the invoice — such as tax ID, bank account (IBAN), and the sender's email domain — against your payee records, then confirms the best match using the invoice itself. You can accept the suggested payee or select a different one. Matching accuracy improves with each completed payment.
How do I search for bills in Tipalti?
Go to any bill screen and use one of the following identifiers in the search bar:
- Bill refcode
- Payment refcode
- Payee ID
- Payee name
- Company
- Alias

Can I customize which columns display in the Bill List?
Yes. You need the Payer Administration role to change the columns that display. To the right of the column headers, click and select up to nine column headers. Go to each bill screen and repeat. For a list of available column headers and descriptions of each, click here.
How do I filter the types of bills that display in the Bill List?
On any bill screen, click "Add filters" and select the filters you want applied. You can filter by payee, bill and payment information, and line level custom fields. Click here for information on the types of filters available.
Which actions can I perform on bills?
The status of the bill and your user role determine which actions can be done. Click here for a list of actions and steps on how to perform each action.
How can I apply vendor credit to a bill?
There are three ways to apply vendor credit depending on the payer's bill flow:
- Create a negative bill.
- Use the bill Discount field.
- Add a negative bill line.

- Use the bill Discount field.
- Add a negative bill line to the bill.

What do I do with a bill once it has been reviewed?
You can do one of the following from the Invoice review or Bill details screen:
- Submit the bill for internal approval
- Release the bill for internal approval
- Release the bill for payee approval
- Save the bill for editing later
- Dispute the bill
How do I track bills in Tipalti?
Tipalti assigns bills different statuses based on where the bills are in the bill and payment cycles. View bill statuses and bill payment statuses by downloading a Bill Details report. Bill status can also be viewed in the Bills tab of the Tipalti Hub.
