Manage payee status and settings

Manage payee status and settings on the "Payees" tab of the Tipalti Hub.

Payee status

Select an action below to see the instructions on how to change the payee status.

The payee status is disabled while the payee's details are under compliance review for sanction screening. You can change your payee's status once the review is complete and the payee is given the all-clear. This ensures we align with regulations and keep payments secure.

Suspend/ unsuspend payee

Required user roles Update Payee & Risk Management

Suspending a payee makes the payee unpayable, but still allows contact and payment details to be edited in the iFrame/ Supplier Hub.

  1. Search for the payee.
  2. Above the payee's information, click "Actions", hover over "Payee status" and select "Suspend payee".
  3. In the "Suspend reason" field, type a reason for suspending the payee. A list of reasons populates once you begin typing. If your reason appears in the populated list, select it.
  4. Click "Save" to update the payee status to "Suspended". An information icon (Information icon) appears beside the status. You can hover over this icon to see the reason for suspension.
  5. Click "Confirm" to update the payee status to "Suspended".

To unsuspend the payee, select "Unsuspend payee" from the "Actions" dropdown menu and confirm your action to update the payee status to "Active".

Block/ unblock payee

Blocking a payee makes the payee unpayable, and doesn't allow the payee to edit contact and payment details in the iFrame/ Supplier Hub.

  1. Search for the payee.
  2. Above the payee's information, click "Actions", hover over "Payee status" and select "Block payee".
  3. In the "Blocking reason" field, type a reason for blocking the payee. A list of reasons populates once you begin typing.
    If your reason appears in the populated list, select it.
  4. Click "Save" to update the payee status to "Blocked". An information icon (Information icon) appears beside the status.
    Hover over the icon to see the reason and date the payee was blocked.

To unblock the payee, select "Unblock payee" from the "Actions" dropdown menu and confirm your action to update the payee status to "Active".

Close payee

Required user role Payer Administration

Closing a payee deactivates the payee account. This action is irreversible. To reactivate the account, please submit a request to our Support Team.

  1. Search for the payee.
  2. Above the payee's information, click "Actions", hover over "Payee status" and select "Close payee".
  3. Click "Confirm" to change the payee status to "Closed".
    You cannot delete a payee, you can only close the payee's account.
Unlock payee

Required user roles Update Payee & Risk Management

If a payee informs you that they can't log into their Supplier Hub account, follow these steps to unlock their account.

  1. Search for the payee.
  2. Above the payee's information, click "Actions", hover over "Payee status" and select "Unlock payee account".
  3. Click "Confirm" to unlock the payee account, which triggers an email to the payee letting them know that their account has been unlocked. The "Unlock payee account" option is no longer available in the payee status menu.

    If legitimate payees can't continue onboarding when security checks block their SMS authentication, and the payer confirms the payee is valid, Tipalti can enable an alternative verification path so onboarding can continue.

Payee settings

Select a category below to see the available payee settings and instructions on how to change the settings.

Payments

Allow payments after last transaction failed

Required user role Update Payee

When a transaction fails due to missing or incorrect payee information, Tipalti holds further payments until the payee corrects the information. Once corrected, payment resumes in the normal payment cycle. If the payee has not corrected the information, yet you want the payee to receive the payment, you can change payee settings as follows.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. When a transaction fails, in the "Payments" section, the toggle button beside "Hold payments since last transaction failed" is toggled "On" automatically. Click the toggle button to turn the setting off.
  4. Click the check mark to confirm your selection.

Absorb payee transaction fees

Required user role Update Payee

You can choose which payees you want to pay transaction fees for, regardless of how transaction fees are set up for all your payees.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Payments" section, beside "Absorb payee transactions fees for", select the payment methods for which you want to pay the payee's transaction fees.
Bill settings

To improve automatic payee identification on incoming invoices, make sure the payee's profile includes their tax ID, IBAN, and primary email domain. Tipalti uses these details to match invoices to the correct payee at the time of review.

Early payment discount

Required user role Update Payee

If a payee is assigned to a payment term with an early payment discount configured, they're automatically enrolled in that discount. The discount is applied to all eligible new invoices from this payee.

To enroll, change, or remove a payee's early payment discount, assign them to the appropriate payment term in Payee > Payment > Payment term.

  • To enroll: select a payment term with an early payment discount configured.
  • To change: select a different payment term with the discount you want.
  • To remove: select a payment term without a discount.

Changing a payee's payment term updates the discount applied to their invoices in Pending review and Pending AP action status. Invoices already in Pending approval or later are not affected.

Reduce scan duration

Required user role Update Payee

When AI Smart Scan/ Managed Services is enabled, the invoice review process may extend up to 48 hours. If payment terms are very short, you can reduce the scan duration for a payee by skipping Managed Services review. If skipped, you need to review this payee's bills manually to ensure all invoice information has been captured accurately.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Bill settings" section, beside "Reduce scan duration", toggle the button "On".
  4. Click the check mark to confirm your selection.

Capture invoice lines automatically

Required user role Update Payee

If your bills configuration includes capturing invoice lines automatically, you can turn this feature off for an individual payee.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Bill settings" section, beside "Capture invoice lines automatically", toggle the button "Off". The button is now red.
  4. Click the check mark to confirm your selection.

Request for payee approval

The following information is only relevant if you are using a self-billing flow to pay the payee (see Bill flows).

Required user role Update Payee

Some countries require payers to collect invoices from their payees if both payer and payee reside in the same country. If so, then the default for requesting payee approval is "Off" (i.e., the payee is asked to send you an invoice). Otherwise, the default is "On" (i.e., the payee is asked to approve the invoice via the iFrame/ Supplier Hub).

The default mode is determined when the payee country is defined in the iFrame/ Supplier Hub. You can manually override the default as follows, and if the payee country is later changed, your selection will not be affected.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Self Billing" section, beside "Request for payee approval", do one of the following:
    • To request the payee approve invoices, toggle the button "On".
    • To request the payee send you invoices, toggle the button "Off".
Bill approval

Required user roles Update Payee or Add Payee

You can define a default bill approver per each vendor. By default, on the "Invoice review" screen, the approver is added to all vendor's bills as the first approver, followed by the AI and policy approvers.

This feature does not apply to PO backed bills in the PO matching screen.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Bill approval" section, beside "Default first approver for all invoices", toggle the button "On".
  4. Type the name of the approver and select it from the populated list.
  5. Click the check mark to confirm your selection.
Purchase orders

Enable matching mode

Required user role Update Payee

The default PO matching mode is configured on the payer account. You need to enable this default for individual payees. If this setting is not enabled, PO matching is skipped and each of the payee's bills must be approved before it can be submitted for payment.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Purchase orders" section, beside "Matching mode", toggle the button "On" to display the default PO matching mode.
  4. If you want to change the matching mode for the payee, click the default mode that displays and select "Header and lines" or "Header level only".
  5. Click the check mark to confirm your selection.

If the payer default matching mode is changed, only payees who have been assigned the default mode are affected.

Enable receipt matching

This setting gives you the flexibility to set up 2-way or 3-way PO matching for a payee regardless of the payer's default flow . If you choose not to enable this setting for the payee, then the payee's bills will be matched only to POs (2-way matching) and not receipts.

  1. Search for the payee.
  2. Click the "Settings" subtab.
  3. In the "Purchase orders" section, beside "Enable receipt matching", toggle the button "On".
  4. Click the check mark to confirm your selection.
