Bills navigation

Tipalti Hub's Bills is where you can process invoices and bills. You must be assigned the View Bills user role to access Bills.

Search for bills

You can search for bills by Bill refcode, Payment refcode, Payee ID, Payee name, Company, Alias, Invoice number, and PO number.

If you want to search for a specific payee's previous bills, use the payee name or ID to view the bill list for that payee.

You can also find a payee's previous bills by clicking Payees in the left menu and then the Bills tab.

Bill lists

Each tab in Bills shows information organized in a table called the Bill list. Each row in the table pertains to a single bill and up to nine columns of information display. Use the following features to help manage your bills. Select a feature to reveal further details.

Choose which columns display

You can customize the bill list and set your preferred view by choosing the columns (fields) to be displayed.

  1. Go to any tab in Bills. The bill list displays.
  2. To the right of the column headers, click the settings icon Settings icon. A dropdown menu displays a list of available columns.
  3. Select up to eleven column headers you want displayed in the bill list. The bill list updates with each selection you make.
  4. Click outside the dropdown menu to collapse the menu.
  5. Repeat these steps until the bill list on each tab is customized.

Column headers

The Bills tabs represent different stages in the bill process. Each tab displays a list of bills with column headers related to that stage in the process.

Column header

Description

Amount The original amount of the bill
Amount due The amount of the bill due to be paid (If the bill was already partially paid or vendor credit was previously applied, this field displays the remaining amount of the bill due to be paid.)
Approval Progress Indicates the number of approvers who have approved the bill out of the total number of approvers assigned to the bill (see Approval progress)
Bill amount per payment
  • The amount of the bill to pay for this payment
  • If only part of the bill is paid for this payment, this value will be less than the Amount due.
Bill date The date on the invoice
Bill due date The date the payment is due
Bill ref code The reference code for the bill
Bill status See Bill statuses.
Bill status reason The reason why the bill is in Disputed, Deleted, or PendingApAction status
Coding status Indicates whether or not GL accounts have been assigned to the bill (see Coding status)
Creation date The date the bill was created in Tipalti
Custom field The values of the custom fields
Description A description of the bill
Exception details
  • A description of the errors that occurred during matching
  • Only displays if purchase order matching is enabled
Invoice date The date indicated on the original invoice
Invoice number The number of the invoice
Payee alias An alternate name for the payee, if applicable
Payee approval date
  • The date the payee approved the invoice/ bill
  • Only displays if self-billing is enabled
Payee ID Unique payee identifier (Idap)
Payee name Name of payee
Payer entity The payer entity linked to the bill
Payment method The payment method used to pay the bill (if the bill is in a Submitted, Paid or Partially paid status) or the payee's preferred payment method (if the bill has not yet been submitted). This difference accounts for any changes payees may make to their preferred payment method while bills are in the bill cycle.
Payment ref code
  • The reference codes for the payment
  • Only displays after the bill has been paid
Payment status See Bill payment statuses.
Pending approval by
  • Indicates the name of
    • The approver who is next in line in the approval process, or
    • Inactive approvers that are no longer part of the company
  • Only displays in the All bills tab
PO number The PO number linked to the bill
Sync reason
  • The reason for the sync status in case of failure
  • Sync errors can guide you to the relevant areas that need to be updated in the bill to allow it to sync successfully
  • Only displays on the Pending payment and All bills tabs
Sync status
  • The status of the sync between Tipalti and the ERP
  • Only displays on the Pending payment and All bills tabs
Sort bills

Click the column header to sort the bills by ascending or descending order. Sorting order is preserved when you move between different bill lists.

Apply filters

Use Add filters on any Bills tab to narrow results by payee, bill details, payment info, or custom fields.

Get the most from filters

  • Filter by payee, bill, and payment information, and line-level custom fields
  • Choose a combination of filters to find out payee statuses, who's payable, and up-to-date bill and payment information
  • Payee custom fields are at the end of the Payee list of filters.

Once filters are applied, you do not need to reset the filters during your current session, as filter selections are preserved while you navigate other Tipalti Hub screens.

In the bill filter list, payee custom fields appear last in the Payee section. 

Filters by category

The filters are categorized as below:

  • Payee: Payee ID, Payee name, Show payable bills, Payment country
  • Bill: Creation date, Invoice date, Due date, Bill refcode, Bill status, Amount, Currency, Invoice #, Transaction type, Amount due, Exception details, Payment method, Duplicate bills, 'Hold payment' bills, PO #, Bills with POs, Pending approval by, EPD savings, EPD expiry date, Days pending approval, Approver name, Match exception severity, Location, Department
  • Payment: Payment refcode, Payment status, Paid time
  • You can also filter early payment discount (EPD) opportunities. For more details, visit Early payment discounts.

Right-click filtering

You can quickly filter Bills by right-clicking a cell anywhere in the Bills list. If you do this in All bills, you can save the filtered view.

  1. In any row in the Bill list, right-click a cell.
  2. Select Add filter by and select what you want to filter the list by.
    • It’ll be any item in that row.
    • The list filters by that specific item.
  3. If it’s in the All bills tab, you can save the filtered views.
Bill list functionality

To facilitate your bill management, you can do the following on any of the Bills tabs:

  • Right-click a bill to open it in a new tab.

  • Hover over the invoice preview icon Preview Icon to preview the invoice.

  • Use the Shift key to select multiple bills
  • View the bills count in each tab.
