User roles

Overview

Tipalti offers a range of user roles and permissions, enabling companies to manage their financial operations to suit their needs.

Each user role enables particular Tipalti Hub functionality, access levels, and responsibilities. Users can be assigned to one or multiple roles. To find out which roles you have been assigned, contact your designated user with the Finance manager or Technical admin roles.

  • The roles in this article relate to Team management, which replaced User management, open to Mass Payments and Accounts Payable customers. For the previous experience, see User permissions.
  • Permissions can change according to the different products that a payer has enabled, e.g., if a payer doesn't have Bills enabled, the bills permissions won't be displayed under roles.

To view your organization's user roles, go to Administration > Team management > Roles.

Predefined roles

To save time, Tipalti has created predefined roles that group complex permissions into simplified roles, designed for finance teams.

The predefined roles are:

Bill approver

Bills approvers can only review and approve bills they're assigned to. Bill approvers are users with limited access to the Tipalti Hub. This role can be used for external or internal approvers who don't have access to payments or any other data except for specific bills. Permissions for Bill approvers, whether uploaded via CSV file or added manually, are set in Team management, not under Bill settings.

Approve bills Select accounts for bills, approve a bill assigned to them, view and add comments and files.
Cardholder

Cardholders can access and manage the company cards assigned to them.

Permission

Allows the user to

Manage my cards Spend using a card, view and manage transactions, and attach receipts to transactions.
Finance manager

Finance managers have full access to financial and admin operations and controls. They are "super users" with a wide range of permissions and access to Tipalti. They have the power to make financial business-level decisions, including funding, spending, and approving bills and payments. Finance managers have payer admin permissions to add and manage users in the team, as well as customize roles. The number of Finance managers is not restricted, but we suggest that you assign this role to a limited number of managers.

Payees

Permission

Allows the user to

Add payee Add payees to the Tipalti Hub or invite them to the Suppliers Hub via email or shareable link.
Log in as payee (for registered payees) Update payee payment details by logging into the Suppliers Hub as the payee.
Review payees

Review, approve, request an update, and decline payee info in the system.

Update payee Update payee settings, tax info, reset their passwords, and block/unblock from payee record.
Update payee payment details Update payment details on behalf of the payee.
View payees Access the Payees tab, search for payees, and generate Payees List reports.
View secure details View payee payment info, bank details, tax info, and other secure details.

Self-billing

Permission

Allows the user to

Approve payee invoices Approve payee invoices that come from the Supplier Hub or are uploaded to Tipalti.
Release payee invoices Release payee invoices to start the payment process.
View payee invoices

View payee invoices that were submitted or uploaded.

Payments

Permission

Allows the user to

Approve payment Get notified of payments submitted that need approval and approve or decline payments.
Convert Funds Start currency conversions and fund Multi-FX accounts.
Submit Payment

Upload payment files and submit payments for processing.

Update Payment Update submitted payment files uploaded to the Tipalti Hub.
View Balance View the current balance across accounts and generate Reconciliation and Account Statement reports.
View Payments View payments and generate Reconciliation, 1099 Preparation, 1042-s Preparation and Payment Details reports.
Manage payment settings Can view and manage payment settings in Administration.

General

Permission

Allows the user to

Manage account billing View payer and payee fee schedules, download Tipalti invoices, and make payments to Tipalti.
Edit email templates Edit the layout and content of all communications and email templates that Tipalti sends on your behalf.
Payer admin
  • Manage team, roles, and Tipalti Hub users
  • View company contact details
  • Configure email notifications
  • View and retry app sync events
  • Configure bill settings/li
  • Reset 2FA verification
  • Close payee accounts
  • Cancel unclaimed PayPal payments before month's end

Manage risk Edit payee status and generate Blocked Payees report. (For payers with Detect enabled).
Early Payment Lender Admin
AP processor

AP processors make sure bills are paid on time, and can view, code, process, and manage payees and bills. AP processors have fewer permissions than Finance managers and can't manage or add users, but they have almost full access to bills, payees, and documents.

Process bills
  • Add, review, update, delete or dispute, and process bills.
  • Set automated reminders for approvers and payees, and prepare bill payments.
  • Mark bills as paid, link bills with POs, reconcile PO matching exceptions, and hold payments.
  • View and add comments and files.
View bills
  • View bills.
  • Download invoices.
  • Generate bill details and bill payment details reports.
Manage bill approvers Add additional bill approvers.
Release bills
  • Release self-billing invoices for internal approval or payee approval/ invoice.
  • Mark invoices as approved by the payee or received from the payee.
Mark bills as non-duplicates Mark bills as non-duplicates if they were marked by the system as potential duplicates.
Approve non-PO lines Approve or decline non-PO bill lines.
Manage services Manage services and Ops.

Payees

Permission

Allows the user to

Add payee Add payees in the Tipalti Hub and invite them to the Suppliers Hub via email or shareable link.
Update payee Update payee settings, tax info, reset their passwords, and block/unblock from payee's record.
Review payees

Review, approve, request an update, and decline payee info in the system.

View payees

Access the Payees tab, search for payees, and generate Payees List reports.

Taxes

Permission

Allows the user to

Get tax notifications Get notified of taxation cases (e.g., when the maximum withholding amount is reached).

Documents

Permission

Allows the user to

Approve documents Approve documents required from the payee, such as ID, tax forms and certificates, and get notified when a document is uploaded by the payee.
View documents Access the Documents tab, download and view documents, such as ID, tax forms and certificates that payees upload to the iFrame or Supplier Hub.

Self-billing

Permission

Allows the user to

Approve payee invoices Approve payee invoices that come from the Supplier Hub or are uploaded to Tipalti.
Release payee invoices Release payee invoices to start the payment process.
View payee invoices

View payee invoices that were submitted or uploaded.

Finance approver

Finance approvers ensure that bills are aligned with the company budget and can approve payments. Outside of Tipalti, Finance approver could be a CFO, VP Finance or another high-level executive, with decision-making authority over an organization's finances and more. In addition to permissions over finances, balances, and payments, Finance approvers can also set approval flows for bills.

Payees

Allows the user to

View payees Access the Payees tab, search for payees, and generate Payees List reports.
Technical admin

Technical admins are responsible for managing API integrations and syncing with ERPs, users, authentication, and the Developer Hub. Technical admins have full access to administration and a wide range of settings, including controlling communications, email templates, integrations, apps, and more. Technical admins also have payer admin permissions to add and manage users in the team, as well as customize roles.

Monitor apps and syncs Access the App monitoring screen and retry sync failures.
Access file integrations Access the File export and File import screens under Integrations tab, download payments, import new payees, bills, and vendor credit records. Can also upload POs, receipts, GL accounts, custom field values, payment terms, units, and tax codes via standard and auto-sync, and configure auto sync settings.
Manage seamless integrations Manage flat file settings under the Administration tab.
Authorize apps Authorize third-party apps, ERPs, and other applications connected to Tipalti.
Manage Dev Hub Manage and set up the payer's Developer Hub.
Treasury viewer

Access to view Treasury in the Tipalti Hub. 
Treasury is being gradually rolled out throughout 2026. Read about Early access.

Permission

Allows the user to

View Treasury View and sort analytics in Treasury overview, Transactions, and Account balances.

Custom roles

Every financial business, operation, and team is different, so if you need a unique role that isn't predefined, then you can create a custom role with specific permissions. A role consists of a set of permissions that allows a user to perform specific actions. Finance managers and Technical admins can customize roles. To learn how to create and manage custom roles, go to Manage team roles.

Common questions

What happens if I have existing users without predefined roles?

Existing users will retain their current permissions and will be grouped under custom roles that you can edit at any time. When you edit roles, it affects the assigned users.

How many bill approvers can I add to Tipalti?

Bill approvers (who can only review bills they're assigned to) are free and unlimited.

What happens if I add more permissions to the Bill approver role?

If you add permissions to the Bill approver role, any assigned users may become billable. If you exceed the number of users you purchased, you will be charged for each additional user beyond the number originally stipulated in your contract. To avoid unintended billing changes, you can save it as a new role, then assign users individually.
