User roles
Overview
Tipalti offers a range of user roles and permissions, enabling companies to manage their financial operations to suit their needs.
Each user role enables particular Tipalti Hub functionality, access levels, and responsibilities. Users can be assigned to one or multiple roles. To find out which roles you have been assigned, contact your designated user with the Finance manager or Technical admin roles.
- The roles in this article relate to Team management, which replaced User management, open to Mass Payments and Accounts Payable customers. For the previous experience, see User permissions.
- Permissions can change according to the different products that a payer has enabled, e.g., if a payer doesn't have Bills enabled, the bills permissions won't be displayed under roles.
To view your organization's user roles, go to Administration > Team management > Roles.
Predefined roles
To save time, Tipalti has created predefined roles that group complex permissions into simplified roles, designed for finance teams.
The predefined roles are:
Bill approver
Bills approvers can only review and approve bills they're assigned to. Bill approvers are users with limited access to the Tipalti Hub. This role can be used for external or internal approvers who don't have access to payments or any other data except for specific bills. Permissions for Bill approvers, whether uploaded via CSV file or added manually, are set in Team management, not under Bill settings.

Finance manager
Finance managers have full access to financial and admin operations and controls. They are "super users" with a wide range of permissions and access to Tipalti. They have the power to make financial business-level decisions, including funding, spending, and approving bills and payments. Finance managers have payer admin permissions to add and manage users in the team, as well as customize roles. The number of Finance managers is not restricted, but we suggest that you assign this role to a limited number of managers.

AP processor
AP processors make sure bills are paid on time, and can view, code, process, and manage payees and bills. AP processors have fewer permissions than Finance managers and can't manage or add users, but they have almost full access to bills, payees, and documents.

Finance approver
Finance approvers ensure that bills are aligned with the company budget and can approve payments. Outside of Tipalti, Finance approver could be a CFO, VP Finance or another high-level executive, with decision-making authority over an organization's finances and more. In addition to permissions over finances, balances, and payments, Finance approvers can also set approval flows for bills.

Technical admin
Technical admins are responsible for managing API integrations and syncing with ERPs, users, authentication, and the Developer Hub. Technical admins have full access to administration and a wide range of settings, including controlling communications, email templates, integrations, apps, and more. Technical admins also have payer admin permissions to add and manage users in the team, as well as customize roles.

Treasury viewer
Access to view Treasury in the Tipalti Hub.

Custom roles
Every financial business, operation, and team is different, so if you need a unique role that isn't predefined, then you can create a custom role with specific permissions. A role consists of a set of permissions that allows a user to perform specific actions. Finance managers and Technical admins can customize roles. Common questions
What happens if I have existing users without predefined roles?
Existing users will retain their current permissions and will be grouped under custom roles that you can edit at any time. When you edit roles, it affects the assigned users.
How many bill approvers can I add to Tipalti?
Bill approvers (who can only review bills they're assigned to) are free and unlimited.
What happens if I add more permissions to the Bill approver role?
If you add permissions to the Bill approver role, any assigned users may become billable. If you exceed the number of users you purchased, you will be charged for each additional user beyond the number originally stipulated in your contract. To avoid unintended billing changes, you can save it as a new role, then assign users individually.
