Edit and customize templates
Required user roles:Finance manager or Technical admin

You can edit templates of automated emails that Tipalti sends on your behalf to your payees. The templates editor makes managing communications to payees simpler, more consistent, and scalable.
With the templates editor, you can:
- Set primary and entity-specific versions for each template
- Edit content in a rich text editor
- Add CC/BCC recipients
- Insert dynamic variables
- Manage languages with editable translations
- Send test emails
Edit templates
To edit an email or other communication template:
- Go to Administration > Communication > Templates to view the list of available templates, and find the template you want to edit.
- Click the template row to open a preview of the template currently saved in the system.
- Click in the Subject field to edit the subject line text.

To add a variable in the subject line, press the + key and select a variable from the dropdown list.
- To carbon copy (CC) or blind carbon copy (BCC) email addresses when the template is sent, click Add CC or Add BCC and type the email addresses.
- To make changes in the body of the template, click Edit. The rich editor toolbar opens with options for bold, italics, underline, formatting, inserting images, and other tools.

When you're done editing your template, click Save.

Add variables
Variables are dynamic text that can be added to the email. Tipalti offers a bank of variables, such as PayeeName or UserName, that will be populated from real data.
While editing, the Variable dropdown list allows you to embed variables into the template.
The variables available depend on the type of template you are editing (see Variables for a complete list).
Edit images, links, and code
Use the toolbar to add images and links to your template, just like in any other content editor:
- Insert image: Click the image icon in the toolbar to upload or link an image, such as your company logo. Images need to be inserted as a URL, then can be resized, replaced, restyled, or removed.

Insert link: Highlight text, or click the link icon, to add a URL.
For full control over the template's HTML — including background and font styling — click the three-dot menu in the right of the toolbar and select <> Code view. Code view uses the same required permissions as editing templates, and allows you to edit or override the raw HTML of the email template.
Create entity-specific templates
Each template has a primary version for all entities, with optional entity-specific overrides and multiple language versions. To customize email templates for entities:

Select the template you want to add entity-specific versions in Administration > Communication > Templates. Click the + button to add a new version of the template.

Name this template version and select one or multiple entities. Click Add.
- Follow the same steps as above to edit the email template, subject line, add variables, and edit the text.
- To Edit or Remove a template version, click on the three-dot menu next to the version name.
Please note, if you don't add template versions, the Primary version is sent to all payees, regardless of their language or associated entity.
Add languages
To edit a template in a different language:

Select a language from the language dropdown on the right.
- Edit the translated template in the same way as the steps above.

Click Add language to add another language to the list, then edit the additional translated template by following the editing steps above.
To remove a template, click the trash icon next to the language and confirm you want to remove the translation.
Send test emails
To send a test email, click Send test email. In the dialog, you can change the email address if needed. Click Send.
