Overview
You can set up email communications for your company in Administration > Communication.
The Templates screen in Communications makes it easier to view, edit, and manage the automated emails being sent by Tipalti on your behalf. This shows all the templates in easy-to-navigate categories, providing added info such as who the recipient is (e.g., payer or payee) and which users in your team will be notified.
Here, you can easily activate or deactivate emails being sent and edit the text of the templates.
You can also customize the HTML, create templates for different entities (only on supported templates), add variables (dynamic text that comes from your Tipalti data) in each email, and translate the emails to different languages.

Email templates
The Templates screen is separated into categories or flows. You’ll only see the email templates of flows relevant to the modules your company uses on Tipalti. For example, if you don’t have the Bills module, you won’t see Bills emails.
The flows include: Payees, Payments, Bills, Documents, Risk & compliance, Supplier Hub, and Procurement.
Expand or collapse the flows you want to view. When expanded, you’ll see a table listing all the emails in that flow. The table displays the columns: Name, Description, Recipient, Entity specific, and Active.
The entity-specific column is only checked if the email template was set to send only to specific entities, e.g., you set it to only send to payees in the EU.
The Active column shows Yes if the email is activated and being sent when triggered.
It shows No if the email is deactivated and not being sent.
Additional templates
You can manage Additional templates that are not emails that allow you to customize the text of the payee-facing elements of Tipalti, including the Supplier Hub footer, the default invoice layout in the Supplier Hub, and the default header and footer of all emails sent to payees.
Setting default email header and footer
To configure the default header or footer for all emails sent by Tipalti, select the Default email template (under Additional templates). Then, edit the template just like using the email editor. Once saved, the new text will be used in the header and footer of all of your emails sent to payees.
To activate an email:

Select the template you want to activate and click the three dots menu at the end of the row.
- Click Activate.

In the dialog, if the template isn’t limited to a specific entity, confirm that you want to activate it for all entities and for every language defined for this template.

Once activated, the email will show as Yes under the Active column, and will be sent when triggered.
To deactivate an email:
Follow the same steps as above, but click Deactivate from the three dots menu.
