Your experience can vary depending on whether you register through your payer's website or the Supplier Hub. See the difference
Registration
Why does my registration look different from the video?
Your payer decides where you register. Some payers invite you to the Supplier Hub, Tipalti's own portal, where you sign in with a registration link. Others show the Tipalti registration form inside their own website or app, so you sign in there instead.
You give the same information either way. Depending on your payer, you might not see some things in the video, such as a registration link, a Tipalti sign-in, or your invoice and payment history.
If something you need is missing, contact your payer.
How do I benefit from registering in the Supplier Hub?
Registering in the Supplier Hub gives you:
- Faster payment processing
- A choice of payment methods and currencies to receive payments in
- Easy invoice uploads for payment
- Tracking for your invoices and payments
- Your invoice and payment history to view and download
- Enterprise-grade security that protects your payment information at the highest level available
Which browsers are supported for the Supplier Hub?
The Supplier Hub supports Google Chrome and Mozilla Firefox only.
How do I register as a payee?
To register as a payee and become payable, complete the 3-step registration process in the Supplier Hub. All sections are mandatory. Complete them in one sitting to avoid delays to your onboarding. This 3-minute video walks you through each section.
-
Contact information: Complete all required fields, including name, address, email, and phone number. Select your type: business or individual.
If you register as a business, the First name and Last name fields are optional.

-
Payment method: Select a payment method from the list of available options, then complete all required fields for that method.
-
Tax forms: Complete the selected tax form. If you don't know which form to choose, click Start the tax form questionnaire. Your answers aren't saved, so if you exit before you finish, you need to start the questionnaire again.

To view each questionnaire question and the form your answers lead to, open I don't know how to complete my tax forms. What do I need to do? in the Taxation section.
- Enter your information correctly and accurately.
- The name in the contact information, payment method, and tax information sections must match.
- Complete all registration sections in one sitting for better data accuracy and faster payments.
How do I open my registration link to start onboarding with Tipalti?
To open your registration link and start onboarding:
- Open the link in your newest welcome email invitation.
- Open the link in Google Chrome or Mozilla Firefox.
- Create a password, then select a security question and enter your answer.
-
Complete two-factor authentication (2FA). 2FA is required when you register and each time you sign in.
- To receive the authentication code, you need a phone number that accepts text messages or phone calls. If you don't have one, you can use a landline or a virtual number, such as a Google Voice number. Read How do I set up a Google Voice number? below.
- You can select the Remember this device for 30 days check box on the login page to skip 2FA on that device for 30 days. After 30 days, you need to authenticate again.

My registration link isn't opening. What do I need to do?
If your registration link doesn't open:
- Make sure you're opening the link in your newest welcome email invitation.
- Open the link in Google Chrome or Mozilla Firefox.
- Update your spam filters to mark emails from Tipalti as safe.
- Clear your browser cache.
My registration link has expired. What do I need to do?
If your registration link has expired:
- Check whether you received a new welcome email invitation, including in your spam folder. A new invitation link replaces any earlier one.
-
Click the most recent link, then enter a login email and create a password for the Supplier Hub.
Don't include spaces after .com when you enter your login email address.
You've now created your account and are registered in the Supplier Hub, but you aren't payable yet.
Bookmark your Supplier Hub login page before you sign out: https://suppliers.tipalti.com/payername/Account/Login. You can't reuse the invitation link from your email, so your bookmark is the only way to return to the Supplier Hub.
-
To become payable, complete the 3 sections in the Supplier Hub: contact information, payment method, and tax forms (if applicable).
- Enter your information correctly and accurately.
- The name in the contact information, payment method, and tax information sections must match.
- Complete all registration sections in one sitting for better data accuracy and faster payments.
- To update your information later, go to your bookmarked Supplier Hub login page: https://suppliers.tipalti.com/payername/Account/Login
- If you didn't create an account in step 2, ask your payer to send you a new invitation from their Tipalti Hub account.
- If your payer has sent the invitation several times and you still haven't received it in your inbox or spam folder, ask your payer to check with their IT department whether a company firewall is blocking the email.
Two-factor authentication isn't working. What do I need to do?
If two-factor authentication (2FA) isn't working:
-
Make sure you have a valid phone number that can receive text messages or phone calls.
You can't use an email address instead of a phone number for 2FA.
- If you don't have a valid phone number, use a landline or a virtual number, such as a Google Voice number.
- To reset or change the phone number you use for 2FA, contact your payer. Your payer can reset your 2FA, but can't turn it off.
- If you still can't receive the code, contact your payer to verify your identity. Your payer can ask Tipalti Support to set up a call between you, your payer, and Tipalti. During the call, Tipalti gets the code directly from the 2FA provider and gives it to you.
How do I set up a Google Voice number?
To set up a Google Voice number for Supplier Hub 2FA:
- Go to voice.google.com. Anyone with a Gmail address has access.
- Sign in, or download the app to your device.
- Go to Settings.
- Use the phone number Google provides for Supplier Hub 2FA.
Google Voice is available for personal Google accounts in the US and for Google Workspace accounts in select markets. Text messaging isn't supported in all markets.
How do I know when I'm registered?
After you open the Supplier Hub link in your email invitation, create a password, and set up a security question, you receive an email confirming your registration is complete. You aren't payable yet, though. To become payable, complete your contact information, payment method, and tax forms.

My registration is complete. How do I make sure I get paid?
To make sure you get paid after you register:
-
Go to your Supplier Hub login page and sign in with your email address and password.
Don't include spaces after .com when you enter your login email address.
- Check that you entered all required contact information.
- Check that you selected a payment method and entered all required payment information.
- Check that you completed your tax forms (if applicable), and that they're submitted and approved.
How do I know when I need to update my contact, payment, or tax information?
- You're responsible for keeping your Supplier Hub account up to date, including your contact details, payment information, and tax details.
- Updating your information is self-service only.
- When you sign in, an alert displays at the top of the screen if your account needs updates.
If your tax forms expire, Tipalti emails you at the address on your account to let you know. Sign in to your account and update your tax information.
How do I update my account information?
To update your contact information, payment method, or tax details at any time:
- Go to your bookmarked Supplier Hub login page: https://suppliers.tipalti.com/payername/Account/Login
-
Enter your email address.
Don't include spaces after .com when you enter your login email address.
- Enter your password.
- Complete authentication.
- In the left menu, go to Payment Details, then open the page you want to update.
I was payable, and now I'm unpayable. Why did this happen?
You become unpayable if you change any of the following fields in the Supplier Hub. These changes may erase your banking information or invalidate your tax forms (if your payer requires tax forms):
- First name
- Last name
- Company name
- Contact address country
- Payment details country
- Phone number
Contact your payer if you have questions about updating your information.
Account information
Does Tipalti keep a copy of my financial information?
Yes. Tipalti receives a copy of your financial information, either from you or from your payer, to provide payment services. Tipalti keeps your information while you receive payments, and as otherwise required by applicable law.
How do I delete my information from Tipalti?
To delete your information from Tipalti, send a request to your payer. Tipalti can't delete your account information without your payer's authorization.
Does Tipalti keep any of my information after a deletion request?
As a licensed financial services provider, Tipalti must keep transaction records for 7 years. If your personal information is part of those records, Tipalti keeps a copy for the period required by applicable law.
Payments
Which payment methods are available?
Tipalti offers the following payment methods:
- Direct deposit/Automated Clearing House (ACH)
- eCheck/local bank transfer
- Wire transfer
- Check
- PayPal
- Prepaid debit card (Intercash)
- Virtual card
Available payment methods depend on your country and your payer's setup.
Which currencies can I get paid in?
Available payment currencies depend on your country and payment method. Most major world currencies are available, including many local currencies. When you add your address and payment information in the Supplier Hub, you can select a currency from the list of options available to you.
How do I send my invoice to my payer?
You can send your invoice to your payer in 2 ways:
- By email: Email your invoice as an attachment to your payer's accounts payable (AP) email address for invoices.
- In the Supplier Hub: Upload your invoice from the Submit an Invoice or Invoice History tab.
To upload an invoice from the Submit an Invoice tab:
- Go to Submit an Invoice.
- Click Upload Invoice, then upload and submit your invoice.
To upload an invoice from the Invoice History tab:
- Click Invoice History. You can view your invoice submissions here.
- Upload your invoice.
How long does it take to process payments?
Payment processing time depends on the payment method and the country you're paid in. Bank holidays may also affect the value date the bank assigns. PayPal and prepaid card payments aren't affected by bank business days.
Why is my IBAN showing as invalid in the Supplier Hub?
The Supplier Hub validates your International Bank Account Number (IBAN) with a mathematical algorithm, so an IBAN can look correct and still be invalid. You can check your IBAN with IBAN Validator. If it shows your IBAN as invalid, contact your bank.
Why can't I receive payments?
If required information is missing or incorrect in your Supplier Hub account, your payments are deferred and not paid. Tipalti emails you to let you know a payment was deferred and why.
Why am I receiving payments by card?
You receive card payments if Tipalti's automated system identified you as a card acceptor, or if you asked to be paid by card.
How do I change my payment method?
To change your payment method, sign in to the Supplier Hub and update it in your payment details. For steps, view How do I update my account information?
How will I receive my card details?
Tipalti either enters your card details in your online portal, gives them to you over the phone, or sends them to you by secure email.
Payment statuses
What does "Deferred Internal" mean?
A payment is Deferred Internal when an issue in Tipalti, often related to compliance or risk, stopped it from being sent to the payment provider.
Why is my payment still "Processing"?
A Processing payment is one Tipalti is still working to send to you.
What does "Scheduled" mean?
A Scheduled payment is set up and will be sent on a future date, according to the schedule your payer set.
What does "Rejected" mean?
A payment is Rejected when the payment provider or your bank declines it.
What does "Canceled" mean?
A payment is Canceled when your payer stops a scheduled payment before Tipalti processes it.
What does "Deferred" mean?
A payment is Deferred when Tipalti couldn't send it because of an issue with your account information or eligibility, such as missing or incorrect details. You get a notification explaining what to fix. After you update your information, your payer can submit a new payment.
When is a payment "Paid"?
A payment is Paid when the payment provider confirms it and the funds are sent to your account.
Taxation
I don't know how to complete my tax forms. What do I need to do?
Tipalti can't give tax advice or tell you which tax form to complete. Consult your own tax advisor.
You can also complete the tax form questionnaire in the Supplier Hub to help you find the right form. Your answers aren't saved, so if you exit before you finish, you need to start the questionnaire again.

The following table lists each question in the tax form questionnaire and where your answer leads: either to the next question or to the tax form you need.

What do I do if I can't continue to the next tax screen or I'm having trouble with a form?
If you can't continue to the next tax screen or need help completing a tax form, contact your payer.
Do I have to pay taxes on my earnings?
Your payer may be required by law to collect tax information from its payees. You're responsible for understanding and complying with all tax laws that apply to you. If you don't know whether you need to pay taxes, consult a tax professional.
These websites may help:
Does my payer need to approve my tax form before I can get paid?
Whether your payer needs to approve your tax form depends on whether you submit an electronic or a manual form.
- Electronic forms: If you complete your tax form in Tipalti's online wizard, your payer doesn't need to approve it. The wizard cross-checks your information against the form type. For example, on a W-8BEN or W-8BEN-E form, it checks that your permanent residence address, mailing address, country, and phone number are outside the US.
- Manual forms: If you complete a manual tax form, such as W-8ECI, W-8IMY, W-8EXP, or 8233, your payer must review and approve it before you become payable.
If Tipalti asks you for additional documents, your payer must approve them before you become payable, even for electronic forms.
Will updating my personal information affect my tax form?
Changing any of the following fields may erase your banking information or invalidate your tax forms (if your payer requires tax forms):
- First name
- Last name
- Company name
- Contact address country
- Payment details country
- Phone number
Changing only the letter case of your name (for example, "amy" to "Amy") doesn't invalidate your tax form.
Your payer reviews and approves or declines all changes you make in the Supplier Hub. If your payer declines a change, you're unpayable until the issue is resolved.
If your payer changes your account details or invalidates your tax form, you receive an email notification.
What are the differences between the US tax forms?
Select a tax form to learn who needs to complete it.
W-9
Complete the W-9 form if your entity is incorporated in the US, or if you're an individual and any of the following apply:
- You're a US citizen.
- You're a US resident.
- You have dual citizenship, and one citizenship is US.
- You're subject to taxation as a US citizen.
- You were born in the US and haven't formally renounced US citizenship.
You can complete the W-9 form in Tipalti's online wizard.
TIN validation
If your payer collects a Taxpayer Identification Number (TIN) from payees, Tipalti's online wizard validates it. The most common TINs are:
- Social Security Number (SSN), for individuals
- Employer Identification Number (EIN), for companies
- Individual Taxpayer Identification Number (ITIN)
- Only EINs and SSNs are validated.
- If your legal name includes special characters, Tipalti removes any that the IRS doesn't permit. If your name doesn't match the name linked to your TIN at the IRS, TIN validation fails and you become unpayable.
To learn more about TINs, visit the TIN page on the IRS website.
W-8BEN
Complete the W-8BEN form if you're an individual who is not:
- A US citizen
- A US resident
- Subject to taxation as a US citizen
- Born in the US
And who:
- Has no income effectively connected with the conduct of trade or business within the US
- Isn't acting as an intermediary
- Isn't receiving compensation for personal services performed in the US for which they're claiming a treaty benefit
You can complete the W-8BEN form in Tipalti's online wizard. Read the W-8BEN instructions for help.
P.O. box and in-care-of (c/o) addresses aren't accepted on this form.
W-8BEN-E
Non-US entities with US-sourced income must complete the W-8BEN-E form. You can complete it in Tipalti's online wizard. Read the W-8BEN-E instructions for help.
Claiming treaty benefits
To claim treaty benefits on the W-8BEN-E form, the entity must satisfy the Limitation on Benefits (LOB) article of that treaty. For the types of LOB provisions, view Part III, line 14b of the W-8BEN-E form. For a description of LOB for treaty claims, view the W-8BEN-E instructions.
You must do one of the following:
- Check the box for the type of LOB provision that applies to the treaty benefits you're claiming.
- Check the box showing the entity received a favorable discretionary determination from the US competent authority confirming it qualifies for the treaty benefits you're claiming.
W-8ECI
Complete the W-8ECI form if you're an individual and your income is effectively connected with the conduct of trade or business within the US. Download the form, complete it manually, and upload it to the Supplier Hub. Read the W-8ECI instructions for help.
W-8IMY
Complete the W-8IMY form if your entity is a foreign partnership, a foreign simple trust, or a foreign grantor trust (and isn't claiming treaty benefits), or if you're an individual acting as an intermediary. Download the form, complete it manually, and upload it to the Supplier Hub. Read the W-8IMY instructions for help.
W-8EXP
Complete the W-8EXP form if your entity represents a foreign government, an international organization, a foreign central bank of issue, a foreign tax-exempt organization, a foreign private foundation, or the government of a US possession claiming the applicability of sections 115(2), 501(c), 892, 895, or 1443(b), and all of the following apply:
- The entity isn't an individual.
- The entity isn't incorporated in the US.
- The entity isn't a foreign partnership, a foreign simple trust, or a foreign grantor trust (and isn't claiming treaty benefits).
- The entity's income isn't effectively connected with the conduct of trade or business within the US.
Download the form, complete it manually, and upload it to the Supplier Hub. Read the W-8EXP instructions for help.
8233
Complete the 8233 form if you receive compensation for personal services performed in the US for which you're claiming a treaty benefit. Download the form, complete it manually, and upload it to the Supplier Hub. Read the 8233 instructions for help.
Do tax forms expire?
Some tax forms expire and others don't. Before a form expires, you receive expiration reminders 90 days, 60 days, 3 weeks, and 7 days before the expiration date, asking you to submit a new form.
- W-8BEN, W-8BEN-E, W-8ECI, and W-8EXP: Valid for the year signed plus the following 3 calendar years, then expire automatically.
- 8233: Expires 1 year from the date signed.
- W-8IMY and W-9: Don't expire.
- Certificate of No U.S. Activities: Doesn't expire. If your payer requires you to renew it every year, you receive an expiration notice 60 days before the expiration date. If you don't sign it by the deadline, you become unpayable and receive a notification that your certificate has expired.
W-9 tax form questions
I completed the W-9 tax form. How do I make sure my TIN passes validation?
To make sure your Taxpayer Identification Number (TIN) passes validation on the W-9 form:
- Enter your name in line 1 of the W-9 form exactly as it's registered with the IRS (your individual name or your business legal name).
- Enter your SSN (for individuals) or EIN (for companies) exactly as it's registered with the IRS.
Any mismatch between line 1 or the TIN on your W-9 form and your IRS records causes TIN validation to fail.
Select the option that matches how you file taxes with the IRS.
Option 1: You file taxes as an individual
- In the contact information section, set your type to Individual.
- In the Name field, enter your legal name exactly as it appears on the tax return you submit to the IRS. Don't use special characters or abbreviations.
- Leave line 2 of the W-9 form empty.
- Enter your SSN as it's registered with the IRS.
- Make sure the signature on the tax form matches the name in the contact information section.
Option 2: You file taxes as a company
- In the contact information section, set your type to Company.
- In the Name field, enter your business legal name exactly as it appears on the tax return you submit to the IRS. Don't enter your personal name, and don't use special characters or abbreviations.
- Leave line 2 of the W-9 form empty.
- Enter your EIN.
- Complete the tax signature field.
What if I don't have a TIN?
You need a Taxpayer Identification Number (TIN) if you're a US business or individual, or a non-US business with US activities. The most common TINs are SSN (for individuals), EIN (for companies), and ITIN. Getting a TIN may take several weeks.
How is a TIN validated?
Tipalti validates Taxpayer Identification Numbers (TINs) with a validation tool provided by the IRS. If your legal name includes special characters, Tipalti removes any the IRS doesn't permit. When your TIN is validated, you become payable.
If your name doesn't match the name linked to your TIN at the IRS, TIN validation fails and you become unpayable.
What do I do if TIN validation fails?
If Taxpayer Identification Number (TIN) validation fails:
- Check that line 1 of the tax form shows the entity that matches the TIN:
- If you entered a company name, enter the EIN.
- If you entered a person's name, enter the SSN.
- Check that the TIN is correct, then try validating it again.
If your EIN was issued recently, it may not be in the IRS database yet. Wait 2–3 weeks before you try again. If you already tried, notify your payer and send them the IRS letter confirming your EIN. Your payer contacts Tipalti, and Tipalti keeps trying to validate your TIN.
Tipalti runs TIN validation daily. This depends on the IRS validation tool being available and working. If there are problems or delays, Tipalti notifies your payer.
W-8 tax form questions
Does US tax withholding apply to me?
Whether US tax withholding applies to you depends on whether your income is US-sourced.
US-sourced income
Federal withholding rates apply only to US-sourced income and are based on your treaty country and income type. Your payer may also apply other withholding, such as state withholding. Check with your payer for details.
Non-US-sourced income
If your income has no connection to the US (no US location, employees, or equipment), withholding rates don't apply when:
- Your income type is Other Income (Services).
- You've signed a Certificate of No U.S. Activities.
To learn about US tax withholding for non-US persons, visit the NRA withholding page on the IRS website.
What is the Certificate of No U.S. Activities?
The Certificate of No U.S. Activities is a document you sign to declare that your income has no connection to the US (no US location, employees, or equipment). It applies only to the Other Income (Services) income type. If you sign it, withholding rates don't apply for these forms:
- W-8BEN
- W-8BEN-E
- W-8IMY
- W-8EXP
If you haven't signed the certificate:
- Individuals must complete the 8233 tax form. The withholding rate is 0% until your country's yearly limit is reached, or 30%.
- Companies must complete the W-8BEN-E tax form. The withholding rate is 0% until your country's yearly limit is reached, or 30%.
What are income types?
Income types categorize your income and are used to calculate the correct withholding amount for each payment. Examples include:
- Royalties - Patents
- Royalties - Film & TV
- Royalties - Copyrights
- Other Income (Services)
How do I enter a VAT number or declare that I don't have one?

Do I need to submit documents besides tax forms?
Depending on your US tax form and the information you enter, you may need to provide additional documents for verification, or explain why you entered certain information. For example, on a W-8BEN or W-8BEN-E form, entering a US address or phone number, or a payment country that differs from your treaty country, triggers a request for evidence. The following table lists when additional documents are required.
| US tax form | What triggers the request | Evidence required | Acceptable documents |
|---|---|---|---|
| W-8BEN |
|
Evidence of non-US address or treaty address (treaty address only if claiming a treaty) and an explanation of the US address |

| W-8BEN |
You select:
|
Explanation for signing on behalf of someone else without a POA | |
| W-8BEN-E |
|
Evidence of non-US status or treaty eligibility (treaty eligibility only if claiming a treaty) |
|
| W-8BEN-E |
|
|
|
| W-8BEN-E |
|

| W-8IMY | Submitting the form | Withholding certificate and withholding statement | Withholding certificate and withholding statement |
Your payer is notified to review your explanations and documents. If they reject one, they give a reason, and you receive an email with that reason.
You aren't payable until all electronic tax forms are submitted and all manual tax forms, explanations, and additional documents (if required) are approved. After approval, you can view these documents in the Supplier Hub.
You can't remove documents from the Supplier Hub. If you upload another document of the same type, it replaces the previous one and needs approval.
